As an Executive Assistant to the Executive Vice President, General Counsel, Corporate Secretary & Chief Administrative Officer, you will be responsible for the coordination of schedules, travel, Board meetings and other activities while ensuring the timely flow of information to and from the CAO’s office. You will also be highly involved in supporting the CAO’s Corporate Secretary function by coordinating communication with the board of directors, preparation of board books and board meeting agendas, filing of SEC and other corporate governance reports, and high level administrative support of other corporate governance functions. The Executive Assistant handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. Job Duties: Executive Support • Manage and maintain schedules, appointments and travel arrangements for CAO • Administrative support for Corporate Secretary function at all levels • Arrange and coordinate meetings and events • Answer and manage incoming calls • Liaise with internal staff at all levels • Monitor, screen, respond to and distribute incoming communications • Project Support • Prepare and edit correspondence, communications, presentations and other documents • Record, transcribe and distribute minutes of meetings • Coordinate project-based work • Arrange and coordinate meetings and events
Additional Duties: • Receive and interact with incoming visitors • File and retrieve documents and reference materials • Assist in creating, editing, and revising documents in applications such as: MS Word, Excel, MS PowerPoint, etc. • Other duties as requested Position Requirements: • At least 5 years’ experience as an Executive Assistant ideally in a law firm or supporting an in house legal function. • Significant experience supporting a corporate secretary and a Board of Directors preferred. • Previous experience working on political or regulatory matters a plus. • Excellent communication and interpersonal skills. • Outstanding organizational skills. • Ability to manage multiple tasks at the same time. • Proactive Thinker • High energy level • Maintain professional appearance. • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
